Privacy Notice – Events

Your privacy is of utmost importance to European Aluminium. This privacy notice describes the policy concerning the gathering and processing of personal data in the context of European Aluminium events.

The present notice complements the Privacy Policy available on the European Aluminium website and complies with Regulation (EU) 2016/679 (General Data Protection Regulation).

Data controller

Events are organised by « European Aluminium Association » (hereinafter “European Aluminium”), an international non-profit association incorporated under Belgian law in accordance with the Law of 21 February 1921 on non-profit associations, with head office at Avenue des Nerviens 85, 1040 Etterbeek, Belgium, and registered under number 480.720.716.

Why does European Aluminium collect your personal data?

European Aluminium may collect and process personal data in the context of events for the following purposes:

  • The organisation and management of events (including registration and attendance);
  • The communication of information related to events (invitations, practical information, follow-up);
  • The facilitation of networking between participants;
  • The promotion of its activities and events;
  • The provision of event-related services, including digital platforms and access to event materials (e.g. photos);
  • Statistical analysis and improvement of events.

European Aluminium may also use the personal information you provide to:

  • Confirm your registration and participation in events;
  • Contact you in relation to the event;
  • Share relevant information and updates before, during and after the event.

What information does European Aluminium collect?

European Aluminium may collect and process personal data of event participants, including:

  • Name and surname;
  • Professional details (company, job title, organisation);
  • Contact details (email address, phone number);
  • Registration and participation data;
  • Information shared via the event platform;
  • Videos and photographs taken during the event.

This information is collected with your knowledge and is processed and stored using appropriate technical and organisational measures to ensure its security.

Event platform

For the organisation of events and the provision of a digital platform, European Aluminium uses Swapcard.

By registering for an event:

  • Your data will be collected and processed by European Aluminium to allow your access to the event, as well as its digital platform;
  • An account will be created with the information you provide;
  • This account allows you to access the platform and the attendees’ list in order to network before, during and after the event;
  • Your data will be shared with Swapcard, our partner and provider of the digital platform.

Your data will be protected and will not be commercialised by European Aluminium.

You have the right to access your data, as well as to edit or delete it.

Event photography & video recording

During European Aluminium events, photographs and video recordings may be taken.

These images and recordings may be used and made available to participants for communication and information purposes, including via online galleries or event platforms.

Depending on the event, photos and videos may be shared through:

  • a standard online photo gallery (e.g. via platforms such as Flickr), or
  • a dedicated event photography platform such as MementoPhoto.AI.

Where content is shared via a standard online gallery, it is made available for viewing and downloading by participants.

Where photos are shared via MementoPhoto.AI:

  • The platform may use artificial intelligence technologies, including facial recognition, to help you find photos in which you appear;
  • The use of this feature is entirely optional and is only activated if you choose to scan a QR code onsite;
  • Photos are processed securely within the European Union and solely for the purpose of making them available to participants;
  • No personal data is used to train artificial intelligence models.

You may object to the use of your image or recordings at any time or request their removal by contacting events@european-aluminium.eu.

Do we transfer your personal data to third parties?

European Aluminium may share your personal data with third parties for achieving the purposes mentioned above (e.g. event platform providers, photographers, IT service providers).

Where appropriate, such third parties may be located both within and outside the European Union. In the event of transfers outside the European Union, European Aluminium ensures an adequate level of protection in accordance with applicable legal requirements, including the use of standard contractual clauses where necessary.

What are your rights?

You have the right to:

  • Obtain confirmation as to whether or not personal data concerning you is being processed and access to such data (right of access);
  • Request the rectification of inaccurate or incomplete data (right of rectification);
  • Request the deletion of your personal data in certain circumstances (right of erasure);
  • Request the restriction of processing in certain circumstances (right of limitation);
  • Object to the processing of your personal data, in particular where processing is based on legitimate interests (right of opposition);
  • Withdraw your consent at any time where processing is based on consent.

Complaints may be lodged with the Belgian Data Protection Authority.

Storage period

Your personal data will be stored for as long as necessary for the purposes described above, or until you request its deletion, subject to applicable legal obligations.

Security

European Aluminium takes appropriate technical and organisational measures to protect personal data against loss, misuse, unauthorised access, disclosure, alteration or destruction.

All persons having access to personal data are bound by confidentiality obligations.
